General Information The Data section is used to enter, view and modify your library information. You can store information about all your visual data such as video tapes, film, laser disc and even QuickTime movies stored on your hard disk or located on CD-ROM. A simple example would be video tapes. Most people today will use video tapes to record programs such as movies, specials and weekly television shows. When recording this type of information the majority of peop nter the date, time and the name of the user who created the new record. -> Please Note ... Use the Preference command located under the File pull-down menu to configure the name of the user. For more information please refer to the manual that comes with FileMaker Pro. FIELD: Modified Three fields are associated with this label. Each time you change a record the software will automatically enter a new date, time and the name of the user who modified the record. FIELD: REFERENCE # Each time a new record is added to the database, the software will automatically enter a unique identification number. No two records created will ever have the same reference number. FIELD: Marked Use this pop-up menu field to indicate that a particular record has been taged. This is useful in identifying specific records. -> Please Note ... To display a pop-up menu, place the pointer on top of the field and press the mouse button. Continue to hold the mouse button down while you drag the pointer up or down within the list to locate your selection. Once located, make sure your selection is highlighted then release the mouse button. Your selection will now appear within the field. Library - Button - Data - Clear 'A!Library - Button - Data - Buttons Data Section ... Buttons BUTTON: Directory List / Directory Plus Clicking on the Directory button will switch to the Directory List screen. Here you can use the scroll bar to scan your library titles. Once you have found the title you wish to view simply click on the Library button which is located to the left of the title. -> Please Note ... For detailed information on all commands listed below, please refer to the manual that came with your copy of FileMaker Pro. BUTTON: New R le will record several shows or movies on to one tape. Using VideoTek you can now easily catalog and organize your video collection. To enter information using VideoTek simply access the Library screen by clicking on the Library button or by selecting Library from the Script pull-down menu. Press the Tab key to automatically select the first data entry field. -> Please Note ... You will use the Tab key to move from one data entry field to the next when you have completed typing in a fie Next, type the requested information, pressing the Tab key each time you wish to move to the next data entry field. Once you have completed entering the requested information to your satisfaction press the Enter key. This will tell the software you are now done entering information for this record. Each record you created will contain information about one title. If your video tape contains more than one title, for example two or three movies, then add a new record using the same Lib rary Number. The Index Number and / or the Time Indicator Index will point to the location of all titles located on any one video tape. This in turn will make locating a specific title on any given tape very easy. (A Library - Button - Data - Fields Data Section ... Fields FIELD NAMES: Clicking on any field name found within the Data section will display the Index dialog box. FileMaker Pro keeps an index of the values in each text, number, date, time, and calculation field. Instead of typing a value, with the risk of making an unnoticed typographical error, you can paste a value from the index into the current field. FIELD: Title Use this field to enter the name or title of each video program. For example, the name of a mov ecord / Request * New Record: When you wish to add a new record to the database simply click on this button or choose New Record from the Mode pull-down menu. * New Request: To find records, in Find mode you fill out one or more requests - blank records into which you type or paste criteria in text, number, date, time, or calculation fields. 1) Choose the screen you want to use to find records. 2) Click the Find button or select Find from the Mode pull-down menu. 3) Click in the field where you want to enter a search criterion. Then type values, or combine values you type with operators from the Symbols pop-up list in the status area. -> Please Note ... You can also use the index to paste values into a find request. 4) Add request for any additional sets of criteria you want by clicking on the New Rec. / Req. button or by selecting New Request from the Mode pull-down menu. -> Please Note ... By adding new request, you can add new sets of criteria; FileMa ker Pro finds records that match criteria in the first request, plus records that match criteria in the second request and so on. 5) Click the Find button located in the status area. BUTTON: Delete Record / Request * Delete Record ... When you wish to remove a single record from the database simple click this button or choose Delete Record from the Mode pull-down menu. -> Please Note ... When you delete a record, you are permanently discarding the data you entered in all fields i n that record. You can not retrieve your data. -> Important ... Before you delete records, be sure to make a backup copy. You can t use Undo to get records back. 1) Make the record you want to delete the current record. 2) Click on the Delete Rec. / Req. button or choose Delete Record from the Mode pull-down menu. -> Please Note ... The software will asks if you want to delete the record permanently. 3) Click the Delete button. * Delete Request ... You may delete request as lo ng as you keep at least one. 1) Choose Modify Last Find from the Select pull-down menu. 2) Choose the request you want to delete as the current request. -> Please Note ... Use the book to switch request. 3) Click the Delete Rec. / Req. button or select Delete Request from the Mode pull-down menu. BUTTON: Sort Records are stored in the order you add them. But the order you enter records isn t always the order you want to look at them later. Rearranging the order of your records based on the entries in a field or set of fields is called sorting. Use Sort to change the order of either a group of records or all the records, so you can browse, update, or print records in a different sequence. To sort records, click the Sort button or choose Sort from the Mode pull-down menu and establish a sort order by selecting one or more fields. The first field you select tells the software to arrange the records based on the contents of this field. The second field you select is used to arrange records when two or more records have the same value in the first field, and so on. You can sort records in ascending order, descending order, or custom order based on a field s value list. -> Please Note ... FileMaker Pro keeps the records in the sorted order until you do a find request. You can easily sort the file again because the software saves the most recently used sort order. 1) Find the records you want to sort. You may omit any records you don t want sorted 2) Click the Sort button. 3) Click a sort order - Ascending, Descending or Custom. 4) In the Field list, click the name of the first field you want to sort by. 5) Click on the Move button. -> Please Note ... The field will be moved into the Sort Order list. 6) Add any additional fields in the same way. -> Please Note ... You can change the order of the fields in the list by using the double arrow to the left of the field name. Drag the field name to the new position. 7) C lick on the Sort button. -> Please Note ... If you add a new record while the records are sorted, the software tries to maintain the order. The message in the status area changes to Semi-sorted to show that the order is approximate. After adding new records, use the Sort command to make sure the records are sorted correctly. BUTTON: Find To enter the Find mode, click on this button. From within the Find mode you can create find request to - Get specific information, Separate a group of records and even Find records that contain errors. To find records, you provide a description of what you want to find - the criteria. The criteria are the values you want to find in a field; if the software finds the value in that field, it collects that records, and makes it part of the found set. In Find, you type or paste the criteria into a blank record called a request. The software then examines all records in the file and compares them to the criteria in the request. The recor ds that meet the criteria become the records being browsed. 1) Choose the screen you want to use to find records. 2) Click the Find button or select Find from the Mode pull-down menu. 3) Click in the field where you want to enter a search criterion. 4) Add request for any additional sets of criteria you want. 5) Click the Find button located in the status area. BUTTON: Find All Click the Find All button or choose Find All from the Select pull-down menu when you wish to retur n to browsing all records in the database. BUTTON: Spell Check To check your spelling for one particular record, click the Spell Check button. 1) Display the record you want to check. 2) Click on the Spell Check button. The first questionable word appears in the Word box. Below it on the left, the software shows a numbered list of words you may have intended. If your word stumps the software, or if you had no spelling errors, the Word box is empty. To replace a misspelled word: 1) Scan the list of suggestions below the Word box. 2) If you see the correct spelling, select it and then click Replace. Revising the Misspelled Word: 1) Retype the word in the Word box. 2) To see if your revision is correct, click Check. 3) When the spelling is correct, click Replace. Skipping a Word: If the word is correct and you do not want to add it to your User Dictionary, click Skip. Once you skip a word, the software won t come back to it in this round of checking. Bu wt if you check spelling again, the word appears again as a questionable spelling. Adding a Word to the User Dictionary: To add the word to your own dictionary, click Learn. From now on, when this User Dictionary is installed, the software will recognize this spelling as correct. -> Please Note ... General Information VideoTek allows you to attach free-form Notes to each Title in your library. You can use Notes to keep information as to what a particular program is about, or to store information that doesn t fit into any of the standard fields. In addition, you can place a Date/Time stamp in your Notes to help you keep track as to when information was entered. 1) Click in the Notes field or use the Tab key to activate the text cursor. 2) Type the text that yoB u want to attach to this record. 3) When you are finished press the Enter or Tab key. To place a Date / Time stamp in your notes: 1) Click on the Add Note button. The current date and time are inserted into the field. ie, weekly TV show or perhaps the title of a QuickTime movie or training film. Each record you add to the database will pertain to one video program. FIELD: Library # To help locate a program from within your collection, each title should be given a number corresponding to the physical location of that storage medium in your library. FIELD: Index # Since a storage medium, such as video tapes, can store more than one title - you can use the Index # to help locate that title on tha t particular tape. For example, the first recording would be Index #: 1, the second would be Index #: 2, and so on. Some video machines are equipped with an Index Search system, which allows you to directly locate the beginning of any recorded program that you wish to playback, in either forward or reverse direction. The index system uses the index code added at the start of each recording. FIELD: Time Indicator Index In addition to the Index # you can also enter a time index. Many V s will display a time index in hours, minutes and seconds for all recorded programs. For example, when recording from the beginning of a tape the index would read 00:00:00. After recording a 1 hour show the time index might read 00:59:15. This would also be the run time of that particular program. Using this information will give you not only the running time for each program that you record but also the location of each recording on your video tape. FIELD: Dated Use this field to enter the date of when a particular program was recorded. In some cases it may just be the year, in others you might know the month and year. Many of todays video cameras will now record the month, day and year right on the video tape itself. You can enter this information into the VideoTek database to help you locate just the program you wish to watch. FIELD: Run Time All prerecorded tapes that you buy will contain a run time showing how long a program will run. In addition, when re cording or playing back a program you can use the information on your video display to find the total running time of a program. If your VCR does not contain such information then you can use a stop watch, timer or clock to give you the total running time for any program. FIELD: Cost Each time you add a new record, the software will automatically enter $0.00 into this field. If this is correct then you can just tab right past it. However, in most cases the storage medium, for example blank video tapes, will cost you something. When this is the case you only need to enter this information on the record that contains the first recorded program. To find out the current worth of your library select Calculate Worth from the Scripts pull-down menu. The software will automatically calculate the worth of your library based on the figures you have entered into the Cost field. FIELD: Format Use this pop-up field to specify the type of storage medium that is currently in us e to store a particular program. -> Please Note ... To display a pop-up menu, place the pointer on top of the field and press the mouse button. Continue to hold the mouse button down while you drag the pointer up or down within the list to locate your selection. Once located, make sure your selection is highlighted then release the mouse button. Your selection will now appear within the field. FIELD: Speed Use this pop-up field to specify the speed at which a particular program was recorded. -> Please Note ...
